Procedure for borrowing a key
Introduction of the Key Order Information System brings changes to the process of borrowing keys at the gatehouses. This document presents the details of this process and is intended to clarify the procedure especially for loan applicants.
A brief overview of the procedure for borrowing and returning the key:
1. Upon arrival at the gatehouse, the applicant shows his ID and asks for the key.
2. The gatekeeper identifies the applicant using ISKP.
3. The doorman records the loan in the system and issues the key to the applicant.
4. When returning the key, the person again proves himself with the card and returns the key.
5. The doorman uses ISKP to identify the applicant again.
6. The doorman takes the key and records its return in the system.
More detailed description of individual steps:
1.Upon arrival at the gatehouse, the applicant asks for the appropriate key and proves himself with his ID (employee or student) by placing it against the blue surface of the chip card reader on the gatehouse. There are light indicators on the side of the reader, which will flash several times after being applied, which is a sign that the system has read the card and it can be removed from the reading surface of the reader (see the following illustrations of the reader).

2. After placing the card on the computer screen (which is part of ISKP), the doorman will see the information about the applicant necessary for his identification. It concerns the following data:
- name;
- photo (only if he has a photo ID);
- workplace;
- personal number;
- card number;
- information on whether the card is valid (that is, whether the applicant has a valid employment or student relationship with PU);
- whether it is an employee or a student.
3. After successful identification, the doorman issues a key to the applicant, while at the same time recording the loan in the system (the system automatically adds the name of the applicant and the exact time of the loan to the selected key).
4.The person returning the key proves himself by attaching the card to the reader as in point 1 and returns the key.
5. The doorman will again see the person's data on the computer screen and identify him as in step 2.
6. The doorman will take the key and at the same time record the return of the given key in the system (the system will again automatically fill in the name of the person returning the key and the exact time of return).
ISKP also includes the possibility to identify a person without using a card, so that the doorman searches the system for a person by name, personal number or card number, while again seeing all the information about the applicant as after attaching the card. However, this is a much more lengthy process than attaching a card, so it is important for applicants to realize that using the card will speed up the loan.
ISKP also allows the key to be returned by someone other than the person it was borrowed from. This option is provided due to the possible transfer of the key to another person outside the gatekeeper's records. However, such transfers are not recommended, as the doorman does not have the possibility to register these transfers, and the loan database may then contain records that do not correspond to reality (as with paper records).
